Administrative Support Specialist

Expectations:
The Administrative Support Specialist role is to perform a variety of administrative and clerical tasks to support office operations, and the various departments within SES. The Administrative Support Specialist will work under the supervision of the President, with collaboration from administrative staff in the office. The Administrative Support Specialist position requires flexibility and the ability to prioritize tasks to assist the different departments in the office. As this role is often the first impression for customers, families and  community partners, maintaining a friendly, professional, and positive attitude at all times is an essential function of this position. It will be expected that the Administrative Specialist is able to work independently and as part of the team.   In the rare event of downtime, it is the responsibility of the Administrative Support Specialist to seek out additional duties.  Ensure the office is sanitized and disinfected.

Communication skills Requirements:
– Knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar.
– The ability to adapt communication/listening skills to suit the communication needs of SES customers, families and community partners
– Maintain a  knowledge base to assist in accessing resources and assist customers with various questions
– Actively support open/effective communication  with all co-works and administrators, including conflict resolution
– Be sensitive to customer presentation in the lobby, and assess whether to alert corresponding coordinator
– Respond to all messages promptly and ensure it is quickly delivered to the corresponding office staff
– Communicate with all field staff or customers as assigned by text, email, or individual phone calls.

Basic Skills:
 – Active learning, understanding the implications of new information for both current and future problem-solving, and decision-making.
– Active listening, giving full attention to co-worker’s communication, taking time to understand the information presented, and asking questions as appropriate, without interruption
– Critical thinking, using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
– The ability to monitor/assess performance to improve and grow within SES
– Active participation in communications/problem solving with IT to maintain equipment/system used for remote reporting

– Ability to learn and continually operate a tablet, computer, web browser, Excel, and other word programs along with google programs.

Body mechanics:
Requires but is not limited to bending, sitting, walking, and stairs, along with the possibility of lifting no more than 50 lbs., squatting, repetitive motion, and standing for an extended period.

QUALIFICATIONS:
Experience in direct service with people with developmental disabilities, preferably in community-based vocational/living settings.  Ability to work independently and as part of a team, collect and interpret data, compiles statistical reports, and be a creative problem-solver.  A degree in Special Education, Human Service, Psychology, or equivalent training and experience is preferred; must possess a valid driver’s license, and carry the auto insurance limits required by SES, Inc. A DMV and background check will be performed as part of the pre-employment procedure.
